iTRACK gives you the choice of whether or not you would like to retain the pupil details and assessment data for any children who leave school - this may be required for analytical/accountability purposes. Should you choose to retain their data, iTRACK will allow you to toggle their data in and out of your figures. Please note that the default position will be to exclude leavers unless specified otherwise.
This feature is called Transience and in order to use it, you will need to have Administrator access.
How to Enable Transience
The default setting is for Transience to be enabled. However if it's not already, Administrators have the ability to enable or disable this feature in your schools settings. To do this, access the ‘School Settings’ page in the Administration section of the menu and under the ‘General Preferences’ tab, make sure the 'Transience' setting is enabled.
How to Set Pupils as a Leaver/Joiner
Once enabled, navigate to the Administration section at the top left of the navigation bar and click on Transience.
Once here, select the Year Group and the Academic Year you wish to amend and click Go.
The green tick icons indicate that the pupil will appear in your data at that specific year/assessment point, and the red X indicates that the they are set as a leaver and will be defaulted to be excluded from that year/assessment point’s data.
If we take the example above, Chip Cramer is currently included, but James Degale is not currently included in the school and will therefore NOT appear on any of the pages in iTRACK (including Pupil Details or Enter Pupil Results). In order to put him back into the system, you will need to click on the cell appropriate for when he returned to school containing a red X. Once clicked, the cell will change to a green tick.
As shown below, if James returned in Assessment Point 3 then you would simply click here.
You will now see the Red X turn to a Green tick, indicating that the child will be put back into iTRACK from AP 3 onwards.
Please note: Once a pupil has been marked as a leaver during the current academic year, they will not appear in the later years. This also applies if you were to exclude pupils prior to this academic year. For example, if a pupil left school during the summer when they were in Year 3, they would hold a value of 'X' within the 'Previous Years’ column to indicate that the child had left before this academic year.
In the screenshot above:
- Sam Duffy is marked as a leaver in the later academic years, therefore she will not appear anywhere on the system when analysing data beyond the current year.
- Celine Dugan is marked as a leaver in previous years.
- Laura Colly has a tick and a cross in previous years, meaning she was marked as both present and as a leaver in the previous year.
How to Toggle Leavers In/Out of Your Data
With Transience enabled, you may have noticed an additional dropdown box appear throughout many of the various pages of iTRACK.
Simply select ‘Yes’ underneath the ‘Include Leavers’ option then press ‘Go’. You will notice that your transient children have now been added into the data for that page.
Please Note: You may have children who attended school but then left mid-term, or completely left school and then returned. If they are not showing up in iTRACK once you have run Wonde or uploaded a ctf, please check the Transience page. You may be required to manually amend the Red X to a Green tick for the appropriate year/assessment point.
