Once you are happy with your data, you may wish to lock it down so it cannot be changed. To lock an Assessment Point, you will need Administrator rights and it will prevent any user with a Teacher account from being able to enter or change any data. To do this, navigate to Administration at the top left of the menu bar and click on the Assessment Locking tab.
Please note you can lock your data in any of the following ways:
- By individual subject
- By all subjects in a Key Stage
- By individual year group
- By individual term/assessment point
- All at once
Firstly, you must decide which assessment point(s) you wish to lock from your list of subjects.
- Individual Subject: ideal for subject leaders. Simply click on the subject header you wish to change, for example ‘Reading’.
- KS1/KS2 – All Subjects: this is designed for speed. If you are happy with all your KS1 & 2 data then you can lock it all down here with one click.
- EYFS: Once you are happy with all your EYFS data and wish to lock it down, click here. Please note, this section is not broken down into individual subjects.
The same process is repeated for any of the above options, which can be found below.
How to Lock Your Data
Once you have selected the subject, in this case we will use ‘KS1/KS2 All Subjects’, then select the year you wish to lock.
You will now see the following grid:
- Light blue cells indicate that the data is unlocked for that year group/assessment point and data can be entered/changed by teacher and administrator accounts on 'Enter Pupil Results'.
- Grey cells with the padlock icon indicate that the assessment point is locked and can only be unlocked by an administrator account.
Locking Individual Assessments
In order to lock the individual assessment for a specific year group, in a specific assessment point, simply click on the appropriate blue cell as shown below:
In this case, the grey padlock has appeared showing that the data for AP1 in Year 2 is now locked. Click the same area again to unlock.
Locking Assessments by Term/Assessment Point
This is the most commonly used method, and can be used to lock an entire Assessment Point of data once it has been entered and you are happy with it. In order to lock all of your data for a preferred assessment point across the entire Key Stage, simply click the little white tick box next to the appropriate AP at the top:
In this case, by clicking the area highlighted in red, the padlock has appeared. This shows the data is now locked for the whole of the Baseline. Click the same area again to unlock, and repeat for each Assessment Point.
Note: This process must be repeated for both ‘KS1/KS2 All Subjects’ AND ‘EYFS’ from the subject menu to ensure all data, for both sections, is locked.
Locking Assessments by Year Group
To lock all of your data for a particular year group across all assessment points, simply click the little white tick box next to the appropriate year group on the left:
In this case, by clicking the area highlighted in red, the padlock has appeared showing the Year 2 data is now locked for all of the assessment points. Click the same area again to unlock.
Locking ALL Assessments
If you wish to lock all of your data for the entire year with one click, click the little white tick box at the top left next to the ‘Toggle All’ header. This is particularly useful for locking down historic year groups as it is the quickest and easiest way to ensure historic data is locked.
In this case, by clicking the area highlighted in red, the padlock has appeared showing that ALL the data has been locked, for both ‘all year groups’ and ‘all assessment points’. Click the same area again to unlock.
Note: This process must be repeated for both ‘KS1/KS2 All Subjects’ AND ‘EYFS’ from the subject menu to ensure all the data from both sections is locked.
What Happens Now?
You will now find that if you go to the Enter Pupil Results page and select a year group and assessment point that you have locked.
You will note that this page is now completely locked and you will be unable to enter/change any of the data until it is unlocked, with a short message appearing above the data entry table.
