iTRACK will store 2 pieces of data for your pupils at the end of Foundation Stage:
- School iTRACK Data is the data entered by your staff in the Standard format, consisting of the various age bands/ranges along with all your chosen sub-scores.
- Reported Data is the official data which is submitted to your MIS system for government purposes, and can be entered by staff in the ELG Assessment format. In previous years, this could be seen as 'Emerging/Expected/Exceeding' and is not considered as 'Met/Not Met'.
As a result, iTRACK will always try to use the reported, official data where possible for comparative purposes when viewing your pupils throughout the later Key Stages. This can be viewed anywhere in iTRACK in the 'EYFS Outcome' column.
Should you find this column is blank, or is missing data for a particular child, then the likelihood is that this data is missing from your school MIS. Where possible, you should ensure this data is on your MIS, run an import into iTRACK, and this will populate the missing data for you.
There may be occasions where the reported data is missing entirely, for example if the pupil did not receive an EYFS Outcome or the results for that cohort were not submitted due to COVID. In these cases, you will need to convert your iTRACK data into the reported format, in order to populate your EYFS Outcome column.
To do this, simply go to the Administration section of the left-hand menu and click the Convert FS Data tab:
Step 1:
Firstly, you must select which year group(s) you have missing data for. In the below example, I have selected the year 1 pupils, as they are missing all their reported data due to COVID.
Step 2:
The next step is to select which library you wish to convert from. If you are converting your data from the old, previous EYFS curriculum then you must select Legacy (read only). If your pupils were assessed on the new EYFS framework then select the Standard library.
Step 2:
Now you must decide whether or not to overwrite your data. Do not overwrite existing data will leave the data for any pupils that already have reported data, and only populate any gaps. This is the one to use if you only have a small number of pupils with gaps, and is the safer option of the 2. Overwrite existing data will overwrite any reported data your pupils have with their converted school iTRACK data, and should be used with care.
Step 4:
Simply click the blue CONVERT DATA button, and you will notice the the following loading message appear as your data begins to convert.
A green message will then appear once your data has been processed, to inform you that the conversion is complete.
