In order to enter your formative data for EYFS, as a more efficient method than using 'full assign' on the 'Summative Assessment' page, simply go to the Formative Assessment page in the 'Data Entry' section under the 'Foundation Stage' header in the left-hand menu, and fill out the following criteria:
- Year Group: Select the cohort of children you wish to enter data for.
- Academic Year: Select the year of information you wish to view. This is especially useful for viewing historic data. Eg. If you select Year Group: Reception and Academic Year: Nursery, you will see your Reception cohort’s Nursery data. When entering data, please make sure that the Year Group and Academic Year are the same.
- Assessment No: Select the term you wish to enter, this is dependent on the school preferences. Please note that ‘First Assessment’ is a normal baseline, and ‘Reception Baseline’ is for entering numerical data like standardised/scaled scores. The ‘First Assessment’ and ‘Reception Baseline’ options may or may not be active on your account.
- Area of Learning: Pick the area of learning you wish to enter.
- Go: Press 'go' to get your data entry grid.
A useful hint here is to collapse the left-hand menu using the 3 dashes, to ensure most of your pupils fit on the page horizontally:
You can also press 'ctrl +' and 'ctrl -' to zoom in and out on your web browser, in order to ensure your data fits on the page.
How to Input Data
It is worth noting that whilst using the Formative Assessment page, you can also enter your summative data at the same time, as outlined below:
- Firstly you will need to click the name of the sub-area of learning you wish to view the statements for, and it will expand below.
- Simply click for a pupil in-line with the a particular objective to mark as 'achieved', and a green tick will appear in the cell (or click again to remove the data).
- You can also enter your summative data for the sub-area in-line with the area name, enter the data as usual, and you will see the data go in and the overall area average begin to calculate in the first row of the table.
Flood-Filling
This is the quickest way to input data. Examples of when this may be useful is if you have a pupil who is ‘expected across the board’, or when a group of children have ‘all achieved the same objective’.
Vertical Flood-Filling (numerous objectives at the same time)
You can use the ‘allocate selected statements’ boxes to select which objectives you would like to enter data for. If you have a pupil who has achieved a number of statements, simply tick the objectives you would like to input for and then enter data for one of those pupils. That piece of data will be duplicated for all the objectives you had ticked.
It is imperative that you unselect the objectives afterwards. This quickest way to do this is by using the ‘Apply Achievement Status to All Statements’ tick box at the top above the grey header. Toggle to 'on' to select all objectives and then toggle to 'off' to unselect.
Horizontal Flood-Filling (numerous pupils at the same time)
You can use the ‘allocate selected pupils’ boxes below each pupils' name to select which pupils you would like to enter data for. If you have a number of pupils who have achieved a statement, simply tick the pupils you would like to input for and then enter data for one of those pupils. That piece of data will be duplicated for all the pupils you had ticked.
Again, it is imperative that you untick the pupils afterwards, the quickest was to do this is by using the furthest tickbox to the left in the grey header. This will allow you to select all pupils, click again to unselect all pupils.
Vertical and Horizontal Flood-Filling (numerous objectives for numerous children)
Both of the above steps can be completed at the same time. If you have a number of children have all achieved numerous objectives.
You MUST remember to de-select both options afterwards. If you are acting fast, please be sure to act carefully.
Getting the Most Out of the Page
You can use the following key which help you understand how to utilise all iTRACK's main features, to help you get the most out of the page:
1) Open Filters
This enables users to select sub-groups of children using Attributes (e.g. Gender, Pupil Premium, SEND, Autumn/Spring/Summer born etc.) These are available to be in the Manage Attributes section if you wish to add any of your own groups. Instructions for this can be found
2) Report Preferences
Clicking here allows you to toggle between viewing the statements as text or code, and whether or not you wish to display (and enter data for) your 'free text' column, which may be used for something like an effort grade. If you have colour coded objectives you can also select which colours appear in this section.
3) Apply Selected Assessment to All Areas of Learning
This button allows you to flood-fill the summative data, the same as on the 'summative assessment' page. Once ticked, whichever summative grade you select for a pupil will be applied to all sub-areas on the page. You can use the options explained above to select multiple pupils also.
4) Apply Achieved Status to All Statements
Use this tickbox to select/deselect all objectives. Note: this selects ALL objectives for ALL areas.
5) Curriculum Dropdown
Use this dropdown for pupils who are working on a different curriculum, by selecting which year/band of objectives they're working on.
6) Export to Excel
Click here to export the data on this page into Excel format. Note: each area of learning will appear as an individual tab with the summative data on the final tab.
7) Select Multiple Pupils
Click these tickboxes to select multiple pupils at the same time.
8) Area of Learning Expansion
Click each area of learning header to expand the page and display the objectives for that area. You can open multiple areas at the same time.
9) Select Multiple Statements
Click these tickboxes to select multiple individual objectives at the same time.
10) Percentages (i)
Here you can view what % of pupils has attained each objective/area of learning.
11) Percentages (ii)
Here you can view what % of objectives each pupil has attained for the area of learning and overall subject. Note: to see %s for the key areas e.g. Literacy, you need to select Literacy in the areas of learning drop down at the top of the page.
