iTRACK's built-in Profile Builder allows you to upload your EFYS learning journey's, with parental access to both view and comment on their child's work. You can record observations for your early years pupils against all of the EYFS objectives within iTRACK, and then produce reports and timelines showing your pupils progress throughout the early years. Each observation will allow you to upload images and write comments for every child, for each of the 17 early learning goals.
Click on the Profile Builder page in the 'Foundation Stage' section of the left-hand menu, and you will be presented with the following page, which has a different look and feel to the rest of iTRACK:
To exit the Profile Builder and return to the main iTRACK page at any time, simply click the 'Exit Arrow' icon at the top right-hand side.
Adding Observations
Provided they are all completed, the following steps can be followed in any order. However the most logical way is as follows:
Step 1: Select Your Pupil(s)
Ensure you are on the '+ ADD NEW' tab, which will be the default page when you open the Profile Builder. Then using the 'SELECT PUPILS' section on the left, choose which pupil(s) you are uploading evidence for. You can select as many pupils as you like by clicking their name.
Step 2: Select Your Objectives
Click on the 'SELECT OBJECTIVES' tab on the left-hand side and then locate the objectives the pupil(s) is working on.
- Choose the area of learning.
- Choose the sub-heading.
- Choose the appropriate band.
- Select the objective(s) you are evidencing. You can select as many as you require.
Step 3: Add Your Photos
Select 'ADD PHOTOS' on the left-hand side, and click on the 'ADD A PHOTO' link.
Simply select the photo/image you wish to uplaod. When using a tablet, this will either take you to your camera (to take the photo there and then) or your camera roll (to upload a previously taken photo). Once it has finished loading, you will see your image appear.
To upload multiple images/photos, you can either repeat this process, or select numerous files/photos in the pop-up from your device.
Step 4: Add Your Details
You then need to fill out all the relevant criteria, and save your observation.
- Name the title of the observation.
- Select the date you recorded the observation.
- Write any notes you require alongside the observation, which will be visible to parents via the 'Parent Portal'.
- Write any next steps you may wish to identify.
- Tick the publish box if you wish if you wish the observation to be sent to the Parent Portal. Leaving this box unticked will NOT send the observation to parents.
- If you are happy, press save.
- You can review all your selected images, areas of learning, selected objectives and pupils here.
Viewing Observations by Pupil
The first option to view observations on an individual pupil basis. This can be done as follows:
- Select the View by Pupil tab
- Choose your class, or a list of all pupils here
- Find and select the pupil you wish to view.
A list of all the observations, made by any iTRACK user, will now appear chronologically from newest to oldest for that child. You will notice the pupil's name appear at the top of the page, with the number in brackets representing the total number of observations.
You can click on any observation to view more detail, including which image(s) were uploaded, which objectives, any notes and next steps etc.
Having clicked on an observation, you can use the left-hand menu to edit/delete should you wish to do so, and you can write further comments at the bottom of the page.
Viewing by Timeline
The second option available to view observations is the Timeline function, which allows you to select a single pupil and view all of their observations between any two selected dates. This can be done as follows:
- Select the Timeline tab.
- Choose your class, or a list of all pupils here.
- Find and select the pupil you wish to view.
- Select the date period you wish to view.
All of the observations created during these dates are displayed in chronological order with the newest first, alongside any attached photos, notes, next steps and the learning objectives which have been selected.
As with the viewing observation by pupil, it is possible to click on the observation title to bring up the same observation page where it is possible to make amendments.
The timeline page is also printer friendly and allows users to print off all of the observations for one pupil at a time.
Viewing by Date
The final option to view observations is to view by date, which allows you to view all the observations made in a month, broken down into individual days. This can be done as follows:
- Select the View by Date tab.
- Choose your class, or a list of all pupils here.
- Select the year of observations you wish to.
- Select the month of observations you wish to view.
You will then see a list of all the observations completed on each day of that month, and you can see the total number of observations both in brackets next to the title, and next to each month on the left-hand side.
Just as you can with the previous two viewing formats, you can click on the observation to bring up the same observation page where it is possible to make amendments.
Uploading Class Photos
The last option allows users to add small images/photos of each pupil, which will appear next the pupils' name throughout the profile Builder. This may be especially useful for helping to identify your pupils more easily, and can be done as follows:
- Select the class Photos tab.
- Choose your class, or a list of all pupils here.
- Select the pupil you wish to add the photo for.
- Click Add New Photo and select an image containing the pupil.
- Highlight the area you would like the icon to be drawn from (you can see a preview above the save button).
- Once happy, press the save button.
