In order to enter your summative data for KS1-KS3, simply go to the Summative Assessment page located under the 'Data Entry' sub-heading of the 'KS1-KS3' section of the left-hand menu.
- Year Group: Select the cohort of children you wish to enter data for.
- Academic Year: Select the year of information you wish to view. This is especially useful for viewing historic data, e.g. if you select Year Group 4 and Academic Year 2, you will see your Year 4's data from when they were in Year 2. When entering current data, please ensure the Year Group and Academic Year are the same.
- Assessment No: Select the term you wish to enter, this is dependent on the school preferences.
- Subject: Select the subject you wish to enter, or use the multi-subject option. Please note that you can use iTRACK for any subject you wish. Contact your local Education Consultant for more information.
- Go: Press Go to get your data entry table.
Colour Coding
iTRACK uses a 'pastel-coloured traffic light' scheme to help differentiate the attainment data, please see the colour coding key below:
How to Input Data
There are various ways to enter data, using the following options:
1. Multi-subject: by far the quickest method, however this will only allow you to enter the overall subject results, any units of study and/or additional assessment data will have to be done on the individual subject.
2. Individual subjects: this is the most comprehensive way to input, allowing you to enter all forms of data related to that specific subject.
Please note: both methods of data entry can utilise the flood-filling options explained below in the 'flood-filling' section.
1. Multi-Subject
To enter data for multiple subjects in one go, select 'Multi-Subject' from the subject dropdown, press 'go', then click the purple 'Show Subjects' button:
All your available subjects will appear in the window, then you simply need to 'tick/untick' the ones you wish to enter data for and press 'Go' again.
Step 1: Simply click on the cell corresponding to the pupil and subject you wish to enter. All the assessment bands will pop up.
Step 2: Hover over the appropriate year group and then select the assessment standard. Please note that the names of your assessment standards can be edited in the preferences.
Step 3: Your data has now been entered. Repeat this process for all pupils/subjects.
You may wish to flood-fill your data. In order to do this, you can use the 'allocate selected pupils' column on the left to select multiple pupils vertically, and the 'apply selected assessment to all subjects' button above the table to apply that data to all displayed subjects in one click. For a more detailed explanation, please see the 'flood-filling' section further down.
You may also wish to enter 'test score' and/or 'free text' (in this case 'effort') data. You can do this by ensuring the 2 corresponding buttons above the table are ticked, and the columns will appear to use as usual.
2. Individual Subjects
Step 1: Simply click on the cell corresponding to the pupil and component you wish to enter. All the assessment bands will pop up.

Step 2: Hover over the appropriate year group and then select the assessment standard. Please note that the names of your assessment standards can be edited in the preferences.

Step 3: Your data has now been entered. Repeat this process for all pupils/components.
Flood-Filling
Whether using multi-subject or an individual subject, this is the quickest way to input data. Examples of when this may be useful are if you have a pupil who is ‘secure across the board’, or when a group of children are ‘all working at secure’.
Vertical Flood-Filling (numerous children at the same time)
You can use the ‘allocate selected pupils’ column to select which children you would like to enter data for. If you have a number of pupils working at the same standard, simply tick the children you would like to input for and then enter data for one of those pupils. That piece of data will be duplicated for all the children you had ticked.
Please note: This process can be repeated when using band assign or full assign.
It is imperative that you unselect the children afterwards, using the ‘Select All Pupils’ tick box which is the one in the grey header at the top.
Horizontal Flood-Filling (numerous components at the same time)
You can use the ‘apply select assessment to all components’ selection box above the table if you have a pupil working at the same standard in all the subject areas/components. Once that box is ticked, simply enter a piece of data for your pupil in one of the areas, and it will be duplicated into all the components.
Again, it is imperative that you unselect this option afterwards if you no longer wish to flood-fill, by clicking the 'X'.
Vertical & Horizontal Flood-Filling (numerous areas for numerous children)
Both above steps can be completed at the same time. If you have a number of children who are all working at the same standard in all areas of learning, tick the ‘apply selected assessment to all components’ box and use the ‘allocate selected pupils’ tick boxes to select children. When you enter a piece of data, it will be duplicated both horizontally and vertically.
Please note: this option can only be used for band assign.
You MUST remember to de-select both options afterwards. If you are acting quickly, please be sure to act carefully.
Made a Mistake?
iTRACK saves lives as you go, so every click and every tick will automatically be saved. This is to prevent data being lost. Therefore, if you make a mistake and enter the wrong data you can do either of the following:
- Follow the same procedures above, but select 'no result'. This will remove the data from that cell.
- Follow the procedures above on any cell that includes wrong data, and simply select the correct information. This will overwrite the wrong data with the correct one.
Additional Assessments
If you have any 'additional assessments' enabled (instructions for how to do this can be found here) then this data can also be entered here. By default they will be hidden, but you may notice some tickboxes for your schools chosen assessments as shown below:
By switching the button to a tick, columns will appear in the data table for each of your additional assessments. You can then enter the data by clicking the cell and either selecting or typing the appropriate information (depending what type of data you have chosen to be recorded).
Getting the Most Out of the Page
You can use the following chart to learn all of the most useful tools built into the page:
1) Open Filters
You can use this button to filter all the data tables by any of your Attributes, which is really useful for analysing your key groups of children. The mandatory, nationally recognised groups are under the 'Core Filters' tab, and any set up by your school will be under 'School Filters'.
2) Last Assessment Toggle
You can use this tab to toggle the previous assessment data in/out of the page. This is useful to check the progress at a quick glance. Additional assessments will also appear here.
3) Apply to All Components
For flood-filling horizontally, as explained above. Additional assessments will also appear here.
4) Band Assign / Full Assign Toggle
This will only display on old accounts how have opted to keep this functionality turned on, or choosing which way you would like to input data: entering the overall assessment data or ticking objectives/statements. The latter can also be, and is more popularly entered using our 'Formative Assessment' page.
5) Select Pupils
For flood-filling vertically, as explained above.
6) Previous EYFS/KS Data
You will know at all times what each pupil's previous KS data is, which is useful to know whether they are on track or not.
Please note that when viewing a KS2 child, this column will show their KS1 data.
7) Entering SEN/EYFS Data
If you have SEND children working below that years curriculum, or perhaps some Y1 pupils still accessing the ELG, then you can use this column the same way all of the other data entry points operate. It will bring up a range of bands/statements you can use, from PKs and P-Scales to EYFS age bands. Once you enter data in this column, that value will be applied to the subject as a whole, as those curriculums cannot be broken down into the subject areas.
8) Manually Entering KS Data
These 2 columns will only appear in iTRACK in the EoY, for both Y2 and Y6. Here you can manually enter both the Scaled Score and Teacher Assessment KS data. This can also be uploaded from your MIS which may be a quicker way to do it, although this is certainly a useful method for plugging historical gaps.
9) Additional Assessments
If you have this enabled in the preferences, you can use the 'AA' column for supplementary test scores, and it will hold any numerical value. This can also be renamed in the preferences, so if you use testing which provides a scaled score, you could call the column 'SS' or 'Scale' if you wanted to. You will notice from the above example that the it has been renamed to 'Test Score'.
10) Free Text Column
If enabled, you can have a fully customisable column for monitoring anything else you may wish to include. This may be particularly useful for giving things like behaviour and effort grades, which can then be pulled through onto the 'Report Writer' automatically. You will notice the above example has been renamed as 'Effort'. This must be enabled by our team, so please give the support number a call if you would like this added to your account.
11) Sort Arrows
By clicking the arrow, it will sort your pupils into ascending order and then descending order if you click the other arrow. This is great for getting your intervention groups and higher attainers at either end of the table. This process can be repeated for any column heading, anywhere in iTRACK you see the 'arrows' symbol.
12) Attendance
The pupil’s attendance percentage will appear here. If you hover your mouse cursor over the attendance figure, a pop up will appear to give you a more detailed breakdown. This updates automatically through Wonde in the early hours of every morning. If this is not the case, or the column is empty, please contact our support line.
13) Greyscale Data
You will notice that before you enter data, the entry table will be populated with greyscale information. This will always refer to the previous piece of information entered for each pupil, allowing you to easily see where they were while you are inputting your data.
14) Note Pad
If you click the little 'note pad' icon then an unlimited character textbox will pop up. This will stay with the pupil all the way through school and can be used for any purpose the school sees fit. Documents can be uploaded using the ‘Upload notes files’ link (Word/Excel/PDF/Images), with a maximum of 20 files per child. Once you have made your notes, click the save button and icon will change to 'look like it contains text, indicating that the child has notes.
15) Overall Assessment - Override
When using iTRACK 'Full Mode', the 'Overall Assessment' column calculated the average of all of the component data to work out your overall subject for you. If for any reason you disagree with this average, you can override the system and enter your professional judgement by clicking on the cell and entering it as you would anywhere else.
You will notice the little 'person' icon appear next to the data, and this will follow that data everywhere it goes, to indicate it was manually overridden by a person. You can click this icon to undo your override.
While using iTRACK 'Lite Mode', this is the only column of data where you can input and the icon simply means that it has been input by a user.
Please note that as a general rule if you are using the components, you should not see this icon unless it is done deliberately. Best practice would be to discuss overriding with SLT, and do it in your pupil progress meetings.
16) Percentages
You will find all your basic percentages calculated live for you underneath the table. It is worth noting that you may be required to scroll down to find this information.
