There are three ways for you to upload your pupils to iASEND. A CTF upload or Xporter upload (only one of these can exist on your system at a time), or adding a manual individual pupil.
CTF Upload
It is recommended that you create and load a CTF on a termly basis as a minimum. Each time you load a new CTF file:
- Pupils who are new to the school are added to iASEND
- Pupils who have left the school are deleted from iASEND
- Pupils whose data has changed have their attributes modified
IMPORTANT: It is critical that you always export ALL the pupils you wish to show on iASEND, whether they already exist on the system or are new.
Each time you import a new CTF file and load it onto iASEND the system will automatically create a backup copy of your data to provide a recovery point, should any error be made.
1. Creating the file
Creating a CTF is a straightforward process, which your school administrators will be very familiar with and with which they should be able to help you.
The process for create a CTF will be different depending on what MIS system you use, but broadly speaking the CTF should contain the following information:
- Student Basic Details
- SEN Information
- Assessment Data
- Looked After
- School History
- Free School Meals
If you are required to select a destination then you should choose your local authority, or an option that allows you to save the data locally in one complete CTF (.xml) file.
You may wish to make a note of the filename once it has been generated.

2. Loading the file
Once you have created the file you need to login to iASEND to load the file.
Got to import pupils in the left hand menu:
- Select 'choose file'
- Browse your computer for the newly created CTF
- Click 'Import pupils'
Your file will be validated to ensure it contains SEND data. The system will only import pupils who have SEND information contained within the CTF. If there are no errors then click Continue With Import.
You can move on to the next task; setting up a Pupil Profile.
Xporter Import
The process above can be completed automatically using 'Xporter'. If you don't currently have this enabled on your account then please contact your Education Consultant to discuss adding it.
To add/update pupils using Xporter:
- Select 'Import Pupils' on the left hand menu
- Click 'Run Pre-Import Checks'
Xporter will then show its findings. Pupils will only show here if they have a SEN Provision code within your MIS system. You can then select the pupils you wish to add to the system.
Select 'Import from Xporter'.
Your new pupils will then be added and current pupils will be updated.
You can move on to the next task; setting up a Pupil Profile.
Adding a pupil manually
To add an individual pupil, one at a time:
- Select 'Pupil details' from the left hand menu
- Click '+ Click here to add new pupil' (If this option does not appear it means that you have reached your licence limit, contact your Education Consultant to increase this)
- Complete the form and then press the
at the bottom of the page.
